WebTrac Frequently Asked Questions

What is WebTrac?

WebTrac is the online component of RecTrac, a recreation and parks software service used by BGSU Recreation and Wellness. WebTrac allows guests to browse and search membership and activity offerings and to become a registered user to enroll and purchase online.

How do I get a username and password for WebTrac

BGSU Faculty/Staff/Students/Retirees/Alumni and Continuing Members

Accounts are created automatically.

The initial username is your complete BGSU email address (user@bgsu.edu). The initial password is the last name (case sensitive) of the primary household member.

Community Members

Click “Create an Account” from the home screen.

Complete the “Information About Your Household” fields and click “Finish”. During the first log-in, users are prompted to change passwords

How do I retrieve a password or username?

Click "Forgot Password?" on the home screen. Enter the same email that is registered to the WebTrac account and click “Submit”.

Two separate emails are generated; one containing the username, one containing the password.

When can I register for an activity or class?

Enrollment periods vary for each activity and are noted within the description for the particular activity. The "Add to Cart" Icon is available for open activities.

Can I use a gift card?

Gift cards may only be redeemed in person.

What guarantees the security of transactions in WebTrac?

The WebTrac system uses Secure Socket Layers, a protocol for encrypting information over the internet, to protect Web browsing sessions

What could be the problem if there was an error processing my credit cart on WebTrac?

Double check that the appropriate credit card type (Discover, MasterCard or Visa) is selected the drop-down box. Re-enter the credit card number without any spaces or dashes. The expiration date is also entered without any dashes or slashes. If these data entry correction steps do not solve the issues, contact a member of the Recreation and Wellness customer service staff:

Why didn't I receive a receipt?

Receipts are generated as PDF files therefore requiring Adobe Reader version 8.0 or higher to be installed on the user’s computer. Links are provided within RecTrac.

After completing a registration, users are given the option of displaying the receipt, emailing, or printing. Email is the most reliable way to obtain a receipt. A copy of the receipt is emailed to the primary account holder email address and a message appears on the screen to confirm that the email was sent.

Some customers have experienced difficulty receiving the receipt email due to security software and filters on their individual email systems

How do I reprint a receipt?

Login to WebTrac and click “My Account”.

Scroll and click “Reprint a Receipt”. Receipts are identified with a number and date.

Select the desired receipt and click “Print”.

How do I cancel a transaction or withdraw from an activity, once I have been through the check-out process?

Cancellation and refund policies vary for each activity and may only be completed in person or by calling 419.372.2000. View a complete list of Departmental Refund Policies and other useful informaton in the Recreation and Wellness Resource Guide.

Golf Tee times may be edited or cancelled using the My Tee Times menu under My Account. A list of reserved tee times is displayed, check the box for each time to delete and click remove.

How do I make changes or additions to my RecTrac account?

Household data is changed by using the Change Household Data menu under My Account.

Household members are updated or changed using the Change Member Data menu under My Account 

How can I view activity history, passes, visits and other account details?

Click on My Account and sign in.

The “My Account” menu at the top of the page provides links to history, childcare, activities, calendars, receipts, balances, logins, visits and evaluations. Each of these areas contains complete details searchable by date, member and/or transaction number.

As I was searching for my activities online, I was timed out of WebTrac and had to re-enter the system. How much time do I have??

Sessions time out after 45 minutes of inactivity.  Make sure to have a credit card ready prior to logging in to WebTrac.  If timed out of the system, items in the shopping cart are removed.

Can I sign up on a waitlist through WebTrac?

Waitlist policies and practices vary for each activity and are noted with the specific activity if offered.

Site best viewed with 1024 by 768 resolution. Recommended browsers are IE 8, FireFox 3, Safari 4, Google Chrome.
